Problem and Context

A corporate recreational complex operator in the northern region needed to standardize the collection of financial data from its new tenants. Without a clear process, commercial lease agreements were signed with incomplete information on operating costs and cash flow projections. This led to deviations in economic feasibility analysis and delays in the startup of the areas.

Applied Approach

We designed an onboarding flow that integrated the capture of key data: estimated box office revenue, fixed maintenance expenses, variable personnel costs, and a fixed asset depreciation schedule (amusement rides, sound systems, furniture). The portal guided the client step by step with specific questions, avoiding generic fields and reducing the load time to 45 minutes.

Technical Implementation

A web form was developed with real-time validation, connected to a centralized spreadsheet that fed a return on investment (ROI) model. Each new client received a unique link and could save their progress. Fields were included to upload contract documents and layout plans of the recreational area.

Results Achieved

In the first three months, 80% of new tenants completed the process without needing follow-up calls. The average collection time went from three days to one hour. Feasibility reports generated from the portal data showed 92% accuracy in projecting operating costs during the first year of operation.
